Display Space Information and Request Form

SUBJECT: Northern Illinois Synod Assembly Displays
As Co-chairperson of the Northern Illinois Synod Assembly which will be held June 16-17, 2006, at Augustana College in Rock Island, Illinois, I would like to announce that it is time to reserve display space and a table at our upcoming Synod Assembly.
As we have done in past years, the displays will be located in the Snack Bar Area of the College Center (directly across from Augustana’s bookstore). Because the work of our Synod Committees and Institutions/Agencies is so important, we have provided a time in the Synod Assembly Agenda for voting members and visitors to visit the display space area. In addition to encouraging our voting members and visitors to visit the display area during the designated time, we will continually make announcements as a reminder that the Synod Committees and Institutions/Agencies will have materials on display in the College Center snack bar area. Due to limitations in available space we are allowing no more than one (1) table per display.
Please take the time now to consider if you will need display space, a table, electrical outlet, and/or any other materials.
An important piece of information which you need to be aware of is the fact that tables are assigned and prepared ahead of time to accommodate requests, and when someone does not show up it causes great confusion. Therefore, unless you have notified us ahead of time, if you have not shown up by Friday noon (June 16), the table assigned to you will be removed, to allow more space for others.
Also, when you arrive to set up your display and if you see an empty table, please do not move your display or add on to your display. Please just leave the empty table there until after lunch when we will make arrangements to have it removed.
A golf cart will shuttle display materials from the drop off circle in front of Carlsson Hall, just west of Centennial Hall on Seventh Avenue, to the College Center.
The College Center loading dock may be another area where you wish to unload/load your display materials. The dock area is located directly behind the College Center on the west side of 38th Street. The dock area space is small so we request that only two (2) vehicles be in the area at one time and that all vehicles be removed immediately after unloading/loading. Assistance will be offered at the dock site to the display area, if needed. A few parking spaces may be available in the parking lot to the east of 38th Street.
Printed signs will assist you in locating your designated table and space. Doors will open at 8 a.m. Friday, June 16, to allow displays to be setup. We are asking that your display be in place by 9:30 a.m. and dismantled no later than 4 p.m. on Saturday, June 17.
If you wish to reserve space, please return the enclosed form by May 5, 2006, to Northern Illinois Synod, Attention: Judi Fields, 103 West State Street, Rockford, Illinois 61101-1105.
